The Training Module is now available in Twind: train, assess and certify your contractors' workers

Create courses, link exams, send credentials to your contractors' workers and generate training certificates automatically — all from Twind, with no manual management.

The Training Module is an additional Twind feature that must be contracted separately. If you want to activate it on your account, contact your Customer Success representative.

Until now, proving that a worker had completed specific training meant managing external certificates and validating them manually. With Twind's Training Module, that process disappears: you define the course, link it to an employee requirement and Twind takes care of the rest — it sends access credentials to the worker, records the result and generates the certificate as soon as they pass the training. The requirement is approved automatically, with no manual steps.

How to activate the Training Module

Once our team has activated the Training Module for you in Global Admin, a new submenu appears under "Settings""Training" with two sections: "Courses" and "Exams".

Open Training Section

Create and manage courses

  1. Go to "Settings""Training""Courses".

  2. Click the button to create a new course.

    Initiate Course Creation

  3. Fill in the course name and description.

  4. Add the training materials: you can upload a file (PDF, image, Excel and the same formats accepted by requirements) or add an external URL — for example, a YouTube video or a SharePoint document.

  5. Save your changes.

ℹ️ Keep in mind: For videos, the URL option is always recommended to avoid format and file-size compatibility issues. A course cannot be deleted if it is linked to an active requirement.

Create optional exams

  1. Go to "Settings""Training""Exams".

  2. Create a new exam and link it to an existing course.

  3. Set the minimum passing percentage.

  4. Indicate how many questions you want shown to the worker on each attempt. Questions are randomly selected from the question bank on each attempt, except those you mark as always shown.

  5. If needed, mark questions as required to pass: even if the worker reaches the minimum percentage, they will fail if they do not answer that question correctly.

  6. Change the exam status to "Published" so it can be linked to a course.

ℹ️ Keep in mind: Only exams with "Published" status can be linked to a course. Workers have up to 3 attempts per day: if they use them all, the exam unlocks the following day. All attempts are recorded in the requirement history.

How to link training to an employee requirement

Training is now a third type of evidence for employee requirements, alongside "File upload" and "Agreement". To set it up:

  1. Go to the employee requirements section.

  3. Select the "Training" category.

  4. Choose the course that workers must complete.

  5. If applicable, mark the requirement as critical.

Training-type requirements display an identifying label in the requirement view — for both the client and the contractor — so they can be distinguished at a glance from other requirements.

What the worker receives and how to manage access

As soon as the training requirement is activated for a worker, Twind automatically sends them an email with their access credentials (ID and password) and a direct link to the course.

From the requirement management view you can: resend the invitation to the same email, change the destination email or force the send at any time.

If the worker does not have a registered email, the system asks you to provide one before sending. You can also copy the credentials directly from the screen and share them through another channel — Teams, WhatsApp, printed on paper — without the worker needing an email address.

What the worker sees and does

Once the worker receives their credentials, this is the flow they follow:

  1. They access the training link.

  2. They enter their ID and password.

  4. If the course has an exam, they complete it and submit their answers.

Automatic certificate and requirement approval

When the worker completes the course — with or without an exam — Twind automatically generates a PDF training certificate and attaches it as evidence for the requirement. The contractor does not need to upload any document. The requirement status changes to "Approved" without any manual intervention. The certificate includes the company name and tax ID of both the buyer and the contractor, the worker's name and identification, the course name and the completion date.

Regulatory compliance: what obligations the Training Module covers

Training contractors' workers is not just good practice — it is a legal obligation. These are the main regulatory references that apply and how Twind helps you comply.

Royal Decree 171/2004 — Duty of information in CAE

Royal Decree 171/2004, which implements Article 24 of Law 31/1995 on Occupational Risk Prevention, establishes that the employer holding the workplace has the duty to inform the workers of concurrent companies, before they begin their activity, about:

  • The risks specific to the workplace that may affect their activity.

  • The applicable preventive measures, including collective and individual protection measures.

  • Emergency protocols: evacuation, first aid and procedures in the event of accidents or incidents.

This obligation (Article 10 of RD 171/2004) must be fulfilled before the start of activities and updated whenever risk conditions or procedures change. With the Training Module, you can link all this information to an employee requirement: the worker receives the content and, if there is an exam, passes it before accessing your facilities — with full traceability recorded in the requirement history.

ISO 45001:2018 — Competence and contractor control

ISO 45001 sets specific requirements that directly affect the training of external workers:

  • Clause 7.2 — Competence: the organisation must ensure that all workers, including contractors' workers, have the necessary competence to perform their tasks without risks to health and safety, and must retain documented evidence of that competence.

  • Clause 7.3 — Awareness: workers must be aware of the OH&S policy, the relevant hazards and risks for their role, and the applicable emergency procedures.

  • Clause 8.1.4.2 — Contractors: the organisation must communicate its OH&S requirements to contractors and their workers before the start of activities, and verify compliance.

The PDF certificate automatically generated by Twind upon training completion constitutes the documented evidence required by Clause 7.2. The history of attempts and results is recorded in the requirement, available for internal or external audits at any time.

Law 31/1995 on Occupational Risk Prevention

Beyond RD 171/2004, the LPRL establishes in Article 18 the general duty to inform workers about the risks of their role and applicable preventive measures, and in Article 19 the duty of preventive training — which must be adequate, practical and sufficient, and updated when working conditions change or new needs are detected.

The Training Module closes the CAE document cycle. You define the required training, deliver it to the worker in a traceable way, record the result and generate the certificate — all within Twind, with no parallel processes or manual management.

This way you comply with the duty of information under RD 171/2004, the competence and awareness requirements of ISO 45001, and the information and training obligations of the LPRL, with full traceability for any audit or request from the labour authority.
