New: Agreement signing with a handwritten signature before access

Employees and visitors read, confirm and sign an information document before their entry is recorded. Right at the access point too, with the app.

Until now, the only way to accept information documents (agreements) in Twind was a checkbox on the web, which doesn't prove that the specific worker read and accepted the document. With Agreement signing, the employee or visitor who is going to access your facilities reads the document, confirms it and signs it with their handwritten signature before their entry is recorded.

It's an add-on that can be activated per company and is available for clients. If you're interested, contact your Customer Success manager.

The signing flow: three mandatory steps, in order

Both at the access point and on the web, acceptance always follows the same three steps:

  1. Read the information document. It's displayed inside Twind, and the person must reach the end before they can continue. There's no shortcut to the last page.

  2. Confirm. Two confirmations: that they have read the document, and that they confirm their identity and the validity of the digital signature.

  3. Sign. Handwritten signature in the signature field, then submit.

The server checks that all the steps have been completed before recording the acceptance. No shortcuts.

At the access point (employees)

When an employee has an information document pending signature that is marked as critical, their entry isn't recorded automatically. The Denied screen lists each requirement that is blocking access and offers the Sign agreement action. Before showing the document, the access point asks for the ID document number. If it doesn't match the employee the signature is for, the signature isn't recorded.

Once the agreement has been signed, Twind recalculates the access status and records the entry if everything is in order.

For visitors

When a visitor accesses a site with an active agreement requirement, the acceptance flow is shown before the entry is recorded, and the entry isn't recorded until it's completed. A visitor can't skip the agreement.

From the web (employees)

The contractor company's administrator can send the employee a signature link by email. The employee identifies themselves with their ID document number and completes the flow from the browser, without having to get to the entrance. The administrator can send and resend the link, but can't sign on the employee's behalf.

Exit is never blocked

A pending or expired information document (agreement) never prevents an exit from being recorded. Attendance records and evacuation lists are always accurate.

Offline mode and local mode

Local mode is supported: the terminal preloads the agreements and their documents in the app. People can read, confirm and sign offline. The entry is recorded and the acceptance is synchronised when connectivity returns, keeping the exact time of the signature.

History and traceability

Each acceptance is recorded with its timestamp, the site, the signer (ID document type and number, first name and surname) and a digital fingerprint of the exact document signed. Users with review permission can download the signed PDF.

Signatures already collected are never deleted when the feature is deactivated, so you have full traceability.
