New: Contract notes and access card number

Two improvements for record-keeping and auditing: add free-text notes to any contract and log the physical access card number linked to each entry.

Contract notes

Do you have information about a contract that doesn't fit any existing field? You can now add it directly to the contract using the new free-text Notes field.

  • Available when creating, editing and viewing a contract — access the field at any point in the contract lifecycle.

  • Only visible to client users — contractors cannot see this field at any point.

  • Changes tracked in the history — any edit to the Notes field is recorded in the contract changelog, alongside all other modifications.

This field is an add-on activated per client. If you don't see it and want to activate it, contact your Customer Success manager.

How to use it:

  1. Go to the Contracts section

  2. Open the contract notes field

  3. Enter your notes

Access card number in access control

In many sites, physical access control works with numbered cards: the guard hands over the card and the number is linked to that person for the day. Until now, that data had nowhere to go in Twind.

You can now log an alphanumeric card number at the time of entry registration, and that number travels with the access record everywhere it is consulted.

  • Available on the entry form — for both employees and visitors (standard and scheduled visits).

  • Visible in the access control and access record lists — on both the client and contractor portals.

  • Included in the Excel export — from the access record lists on both portals.

  • Also visible to the contractor — in their access status and record list, so both sides read the same information.

Example: the guard hands card "TA-0472" to a worker on entry and logs the number in the field. If the next day an incident occurs at the turnstile or physical access system, the client can look up the record and know exactly who was carrying that card at that moment.
