1.What is Single document upload?
Single document upload is an exclusive feature of the Core Plan that allows you to upload a document once and automatically submit it to all the clients and contracts that require it, in a single step.
The system automatically detects which other requirements request the same document and allows you to submit it to all of them simultaneously, without having to repeat the upload process for each client or contract.
This eliminates one of the most common friction points in CAE document management: having to upload the same document multiple times for different clients or contracts.
2.How do I activate Single document upload?
Single Document Upload is included in the Core Plan. To use it, you first need to have the Core Plan active on your account.

On the requirements page, you can activate the Core Plan from any of the banners and buttons that invite you to try the feature within the platform.
Once the Core Plan is active, the feature will be available automatically whenever you upload a document to a requirement. No additional configuration is needed.
3.How does it work?
Activate Single Document Upload by activating the Core Plan as described in the previous step. You'll know it's active because you'll see it in the left sidebar menu or on the Plans page: https://app.twind.io/billing/plans.
On the "Requirements" page, upload the document as you normally would: go to the requirement you want to upload the document to, select the document you want to send, upload it from your computer and click "Save".
The system automatically detects other requirements requesting the same type of document.
A list of matching requirements from other clients and contracts will be shown. You can select them all at once or one by one using the checkboxes on the left side.
Confirm the action. The document will be submitted to all selected requirements in a single step.
4.Which documents does Single Document Upload apply to?
Single Document Upload applies to standard platform documents. Below you'll find the full list of compatible documents:

Document certifying that the worker has been informed of the risks of their job (Art. 18)

5.Which documents does it NOT apply to?
Single Document Upload does not apply to custom documents.
If your client company has configured specific, proprietary documents within the platform, these are not compatible with this feature, as custom documents cannot be recognized as equivalent across different clients or contracts.
6.When will I NOT be able to use Single Document Upload?
There are two situations in which you will not be able to submit a document to a requirement using this feature:
1. The requirement is in a grace period
If one of the matching requirements is in a grace period, you will not be able to submit the document to it.
What is a grace period? A grace period is a window of time granted by the client company when your documentation is incomplete or pending. During this period you will still be able to access the facilities, but there is a risk that access may be blocked at some point if the documentation is not resolved. The grace period and its conditions depend on each client company's configuration.
2. The document's expiry date is not compatible
You will not be able to submit the document to a requirement if:
The document has already expired.
The document's expiry date is earlier than the start date of the requirement. That is, if the document expires before the validity period required by that requirement begins, the system will not allow the upload.
3. The requirement has already been approved or is under review
If one of the matching requirements has already been approved or is currently under review for approval, you will not be able to use Single Document Upload to submit to it.
7.What happens with Express Review?
If you activate the Express Review option when uploading a document, please note the following:
The Express Review credit will apply only to the original requirement you are uploading the document to.
The matching requirements to which you send the document via Single Document Upload will not benefit from Express Review.
For example, if you match with 10 additional requirements, only the original requirement will have Express Review. The other 10 will follow the standard review process.
8.Can I send documents to all matching requirements?
Not always. If you are part of a team within the platform, Single Document Upload will respect your team's permissions.
This means that if your team only gives you access to certain clients or work sites, you will not be able to send documents to requirements from clients or sites you are not authorised to manage, even if the system detects them as a match.
For example, if you belong to a team with access only to client A, the matching requirements from client B will appear excluded and you will not be able to submit documents to them, as you do not have authorisation to manage those requirements.
