New: Per-requirement permissions for user teams: view, review, or list only

Set up access and permissions to delegate document management across your organization while keeping control. Less workload, more autonomy for your teams.

Contractor activity coordination isn't only the PRL/H&S department's job. HR, procurement, operations, maintenance, logistics — all of them handle contractor documentation containing sensitive, regulated data.

GDPR requires control over who accesses what information. Labor law does too. And in environments where several teams review requirements, the "everyone sees everything" model isn't enough anymore: you need to be able to define exactly who can view, who can review, and who can only see that specific requirements exist.

With Per-Requirement Permissions in User Teams, each department accesses only what it needs — and can only do what it's authorized to do. Available to all customers, at no additional cost.

View, review, or list only. You decide.

The user team creation and editing form includes a new step: Requirement Permissions. It lists all requirements configured for the company, with search and filters. For each requirement, two independent checkboxes:

  • View details — the user can open the requirement, check the history, and see all uploaded documentation. Cannot approve or reject.

  • Review (always implies View details) — the user can approve and reject. Also requires the platform role Reviewer or Client Admin. Team permission and platform role are independent conditions: both are required.

  • Neither checked — the requirement appears in the tables, but the Actions column is disabled. Tooltip: "Your company has restricted access to this requirement."

The most permissive always wins.

A user can belong to several teams with different permissions for the same requirement across different sites. The effective permission is always the most permissive combination — belonging to multiple teams never restricts access below what any single team grants.

Bulk selection: now and in the future.

Each permissions column has a dropdown with three options: Select visible, Select all (current and future), and Clear selection. The "current and future" option automatically extends the permission to any requirement added later — without manually updating the team.

The 'Only mine' filter now reaches requirements.

New Only mine option to review, available in the Pending review and All tabs of the Requirements module. In Pending review, it's checked by default if the user has items assigned to them. Toggleable at any time.

No impact on existing teams.

All teams created before launch are automatically migrated with View details and Review enabled for all current and future requirements. No user loses access. Client Admins can adjust permissions at any time.
