This week brings two improvements to CAE document workflows that go beyond Twind: one designed for internal reviewers who don't want to miss a single upload, and another for anyone who needs to share evidence every month with auditors or external platforms without doing it manually.

Review requirements directly from your inbox

When a contractor uploads documentation for a requirement, reviewer users can receive an email notification with a direct link to the review screen. This way, the reviewer doesn't have to log into Twind, search for the requirement manually, and locate the pending documentation — they can access the document directly from the email and approve or reject it.

This improvement is especially useful for teams managing critical documentation or that need to reduce review times when a contractor submits new requirements.

How to enable the email notification when documentation is uploaded

To enable this notification:

  1. Go to the requirement's settings.

  2. Turn on the Notify validators on upload option.

  3. Select the users who should receive the notification.

  4. Save your changes.

Only users with review permissions on that requirement appear as selectable. You can add more than one reviewer per requirement. If a reviewer is assigned to specific sites through user teams, they'll only receive notifications for requirements that apply to those sites — not for every contract on the account.

Share documents with third parties who don't have a Twind account

Scheduled links are an additional Twind feature that must be contracted separately. If you'd like to activate it on your account, contact your Customer Success manager.

If every month you send compliance documentation to auditors, inspectors, regulators, or external CAE platforms, you can now automate it. Set up a scheduled link, define the recipients and the day of the month for sending, and Twind will automatically send the download links — without recipients needing a Twind account.

Some important details about how sending works:

  • The latest uploaded evidence is sent per requirement at the time of sending. If the requirement doesn't have evidence yet on that date, it will still be included in the email with its current status.

  • Each document is sent individually (not as a ZIP). The recipient receives one download link per requirement.

  • Links expire after 7 days from sending, for security reasons. After that period, the document is no longer accessible from that link.

  • Sending is recurring: it automatically repeats on the configured day every month until you disable or delete it.

  • Currently available only for buyers. Extending it to contractors is being evaluated.

How to set up automatic document sending

  1. Go to your site's settings and open the Scheduled links section.

  2. Create a new scheduled link and give it a descriptive name.

  3. Select the day of the month you want the sending to happen.

  4. Add the recipient emails and the language for each one (they don't need a Twind account).

  5. Select the requirements you want to include, filtering by company, contract, or requirement type.

  6. Save the configuration.

ℹ️ How is this different from sharing from the Document Library that contractors currently have enabled? The Library's send button uses the single submission flow to share documents with their clients within the Twind ecosystem. Scheduled links send documentation to external recipients, outside of Twind.
