With External Management, you can now coordinate with your clients who aren't on Twind

Missing CAE documentation due to expiry dates, or employees not set up correctly, will no longer be a worry: you'll have full visibility of your company's CAE. Inside and outside Twind.

Do you work for clients who don't use Twind? Do you manage CAE documentation across several different platforms, with no way to see from a single place which documents are expiring, what each client has rejected or which workers go to each facility? With External Management, you get centralised CAE control from Twind, even if your clients aren't on the platform.

Who is External Management for?

It's especially useful for contractors that work with many clients spread across different CAE platforms: security companies, maintenance, facility services, temporary employment agencies, engineering firms with multiple operations. From 10–15 external clients onwards, the value of centralised control is immediate.

The usual problem: external platforms don't always notify you properly when a document is about to expire. External Management gives you that visibility from Twind before your client rejects it.

3 reasons to activate External Management

  • One single place. All your external clients' documentation, with the same review flows you already know. No need to switch tools.

  • Total privacy. External companies are yours. They don't appear in other companies' directories or selectors. Only you can see them.

  • No confusion. If an external client already exists in Twind as a real client, we'll let you know before you duplicate the work.

How it works, step by step

Step 1 — Create the external company From your list of companies in Twind, use the external companies filter and the New external company button. Fill in the name, country and tax ID (CIF).

⚠️ The tax ID (CIF) must be the real one for that external client

If this client joins Twind in the future, the system will identify it automatically by its tax ID (CIF) and let you know, so you can switch from simulated management to real management. If the tax ID (CIF) is incorrect, this match can't happen.

Step 2 — Replicate the configuration Access the external company from the company selector and set up what that client requires from you:

  • Workplaces where you'll provide services.

  • Activities and risks that apply to your workers.

  • Requested requirements and documents, with the same document type, frequency and conditions as on the client's real platform.

The more faithful the replica, the more useful Twind will be as your control mirror. Subcontracting is fully supported.

Step 3 — Manage contracts and documentation Create contracts from the external company. Your company will always be the contractor, and this can't be edited. Once the contracts have been created:

  • From your company (as contractor): assign resources, upload documents, manage requirements and send periodic documentation links to external recipients. The Document Library and Single document upload also work for external clients, as long as the document type is configured in the requirement.

  • From the external company (as client): view contracts, requirement status and assigned workers, and manage the sending of links.

Document review is always manual, so that the status in Twind accurately reflects what your client approved or rejected on their platform.

When the external client joins Twind

If the external client activates a plan in Twind with the same tax ID (CIF) you registered, the system shows you a notice: "This client is already registered in Twind with an active plan. Contact them so they can create the contracts for you and you can stop managing them externally." From that moment on, you manage the relationship directly as a real contractor in Twind.

New role: External Client Manager

Manages external companies without access to your company's own clients, contracts or configuration. Client Admins can also manage them. Permissions are synchronised automatically when the role is assigned or removed, including the external companies you create in the future.
