Make sure your workers never lose access to a worksite
An expired document can mean your team is unable to enter the client's workplace. With expiration alerts, you stay ahead of the problem: you renew on time and ensure your workers remain operational at every worksite without interruptions.
What you'll learn in this article
Expiration alerts let you know — 15 days in advance — which documents are about to expire. Twind displays visual warnings directly in the "Library" and in "Requirements", and also sends you email notifications for documents linked to requirements. This way, you can renew them before they expire and avoid access blocks for your workers.
ℹ️ Please note: this feature is available exclusively on the AI Plan. If you don't have this plan yet, contact your client company or our team for more information.
How to identify a document about to expire
Twind uses a colour-coded system so you can spot the status of each document at a glance:
When a document is 15 days or less from its expiration date, an orange banner appears at the top of the page.
When a document has already expired, the banner turns red.
These banners appear in both the "Library" and the "Requirements" section.
How to renew a document from the Library
If the alert appears in your document "Library", follow these steps to renew it:
Go to "Library" from the Twind main menu.
Find the document showing the orange banner (about to expire) or the red banner (already expired).
Click "Review".
A side panel will open where you can upload the renewed version of the document.
Select the updated file from your computer and confirm the upload.
Once uploaded, Twind will process the new document and the banner will disappear when validation is complete.
How to renew a document from Requirements
If the alert appears in the "Requirements" section, follow these steps:
Go to "Requirements" from the Twind main menu.
Find the requirement that contains the document with the orange or red banner.
Click "Review".
You will be taken directly to the documents pending renewal. Click "Upload new document" and the file will be updated.
Confirm the upload by clicking "Save and continue". Twind will process the new document and update the requirement status.
ℹ️ Please note: for documents linked to requirements, Twind also sends you email notifications when the expiration date is approaching. This way, you'll receive the alert even if you're not inside the platform.
How multi-effect renewal works
If the same document is linked to several requirements from different clients, Twind helps you update them from a single point:
When you renew a document from a requirement, Twind automatically detects whether that same document is used in other requirements.
The system shows you a list of the additional requirements where that document is used.
Select the ones where you also want to apply the renewal.
Confirm and Twind will update the document in all selected requirements.
⚠️ Important: documents are renewed one at a time. Multi-effect renewal only applies when the same document satisfies the same type of requirement across several requirements. If they are different documents, you will need to renew each one separately.
What happens if I don't renew a document on time
If a document expires without being renewed:
The banner changes from orange to red, indicating that the document has already expired.
The associated requirement may be marked as non-compliant, which could block your workers' access to the client's workplace.
You should upload the renewed document as soon as possible by following the same steps described in the sections above.
