Create and configure your requirement step by step
Before requesting documentation from your subcontractors, you need to have the requirement properly configured. This includes defining what type of evidence is requested, how often, and under what criteria. Here we explain each step.
1. Access the requirements list
In the left-hand side menu, go to "Settings" and click "Requirements".
You will see all existing requirements. Review them before creating a new one to avoid duplicates and keep your documentation organised.
2. Create a new requirement
Click "Add requirement" and enter the name of the requirement (for example, an insurance policy, a training certificate, an information document).
3. Complete details and select the requirement type
Choose which level the requirement applies to:
Company
Employee
Vehicle
Equipment
Define how it will be requested
Indicate whether the requirement is requested:
Once only
Per contract
Per site
Per assignment
ℹ️ Keep in mind: this setting determines how many times the document will be requested from the subcontractor. Choose the option that fits your operational process.
4. Configure the evidence type
Choose what the subcontractor must do to meet the requirement:
Upload their own document
Download a template, complete it, and re-upload it
Read and accept an information document provided by you
Define the validity
Indicate whether the requirement:
Does not expire
Has a fixed expiry date
Has a periodic expiry
Review the custody settings
Check how long documents will be retained once they have been replaced or expired.
Add acceptance criteria (optional)
If needed, add acceptance criteria. These will serve as internal reference when validating or rejecting documents for this requirement.
5. Define the request rules
Request rules allow Twind to ask for the requirement automatically only from the right parties, without you having to do it manually.

6 Save the requirement
Once the rule is defined, click "Add" to save.
From that moment on, Twind will automatically request the requirement from the companies, contracts, or resources that meet the conditions you have just defined.
ℹ️ Keep in mind: the request method and validity are key because they define both the frequency and the lifecycle of the documentation. Review them carefully before saving.
