How to send communications to suppliers and track who has read them in Twind

The Communications feature in Twind allows you to send notices to supplier companies and internal users from one central place, making sure the information is delivered, read, and registered.

It is available to users with the Client Admin role.

This feature is especially useful for sharing important information related to:

  • Contractor Activity Coordination (CAE)

  • Occupational Health and Safety (OHS)

  • access management

  • emergencies

  • compliance with standards such as ISO 45001, ISO 9001, and ISO 14001

When a communication is Published, recipients:

  • receive an email notification

  • see the notice when they log in to Twind

This helps ensure that key information is reviewed and acknowledged by the right users.

How to create and send a communication

1. Go to the Communications section

From the lower left menu:

1️⃣ Click your company name
2️⃣ Select Communications

Access Communications Section

From this section, you can:

  • view all communications in one place

  • check the status of each communication

  • apply filters

  • access reading records

2. Click Add communication

Click Add communication to create a new notice.

Initiate New Communication

This opens the form where you can set up the communication.

3. Enter the communication content

Complete the following fields:

  • Subject — the title of the notice

  • Body — the message recipients will see

Refocus on Message Body

4. Set the communication period

Select:

  • Start date → when the communication becomes active

  • End date → when it is no longer available

Communications can be scheduled in advance.

Choose Start Date

5. Choose the recipients

Define who should receive the communication based on:

  • Worksite

  • Activity

  • Supplier company

This ensures the message is only sent to the users it applies to.

6. Select worksites

In the Worksites field, use the multi-select dropdown to choose the applicable locations.

You can also select all available options.

7. Select activities and supplier companies

Select:

  • the relevant activities

  • the relevant supplier companies

You can also select all available options.

8. Add an attachment if needed

Upload Attachment

You can attach supporting documentation to the communication, such as:

  • procedures

  • drawings

  • checklists

  • safety instructions

⚠️ If the communication includes an attachment, users must download the file before they can confirm they have read the communication.

9. Save the communication

Click Save.

The communication will be recorded and will:

  • be published automatically on the selected start date

  • be sent to the selected recipients

How to check who has read a communication

You can review who received the communication and who has confirmed reading it.

10. Open the records

From the communications list, click Records.

Here you can see all recipients linked to that communication.

Open Records Section

11. Use advanced filters

Click Show more filters to access additional filtering options.

You can filter by:

  • Subject

  • Status

  • Creation date

  • Start date

  • End date

  • Company

  • Reading status

12. Filter by reading status

The Reading status filter helps you quickly identify who has and has not confirmed reading the communication.

Check Read Status

Available options:

  • Read — users who have confirmed they read the communication

  • Unread — users who have not confirmed reading it yet

This makes it easier to follow up with supplier companies or workers who still need to review the notice.

13. View communication details

Click View to open the full details of the communication.

14. Return to the communications list

Click Communications to go back to the main list.

15. Filter by company

Use the Company filter to check whether a specific supplier company:

  • received the communication

  • confirmed reading it

16. Clear filters

Click Clear all filters to return to the default view.

17. Export records

If needed, you can export the filtered records to Excel.

Click Export.

Export Records

Once the export is ready, you will see a notification in the top right corner.
