When should you deactivate a worker?
You should deactivate a worker in Twind when:
The worker has left the company (end of contract, dismissal, or voluntary resignation).
The worker no longer provides services at any of your client sites.
The worker was added by mistake or is a duplicate.
ℹ️ Keep in mind: deactivating a worker in Twind is not the same as unassigning them from a contract. If the worker is still at your company but no longer works at a specific site, what you need is to unassign them from the contract — not deactivate them. See the section below.
Option 1: Unassign a worker from a contract (without deactivating them)
If the worker is still at your company but no longer needs to be assigned to a specific contract:
ℹ️ Keep in mind: if the contract has already expired, it won't appear in the list by default. Enable the "Show expired contracts" checkbox at the top of the "Contracts" list to find it. This helps you clean up old resources that are no longer active on completed contracts.
Go to "Contracts" in the left sidebar.
Open the contract you want to unassign them from.
In the assigned resources section, locate the worker.
Click the option to unassign or remove the worker from the contract.
The worker will no longer be linked to that contract and will stop being requested documentation for it. They will still exist under "Resources" and can be assigned to other contracts in the future.
Option 2: Permanently deactivate a worker
If the worker has left the company and will not return:
Go to "Resources" in the left sidebar.
Find the worker in the list (you can use the search bar).
Open the worker's profile.
Look for the option to deactivate the worker.
⚠️ Important: before deactivating a worker, make sure they are not assigned to any active contract. If you deactivate them while they are still linked to a contract, their documentation will be incomplete and it may affect contract compliance and access for other resources.
What happens to the worker's documentation?
The documentation is not deleted. All documents uploaded for that worker (training, medical fitness, PPE, etc.) are retained in Twind to maintain traceability.
Client companies can still access them from Settings → Custody even after deactivation.
The worker will no longer appear in the active "Resources" list and cannot be assigned to new contracts.
Can I reactivate a deactivated worker?
Yes. If a deactivated worker returns to the company or needs to be reassigned, you can reactivate them from "Resources" by searching among inactive workers. Their previous documentation is preserved, although some documents may have expired and need to be renewed.
Common issues
"I can't find the deactivation option"
Make sure you have administrator or resource management permissions in your company. If you don't see the option, contact your Twind account administrator.
"I deactivated the wrong worker"
You can reactivate them by searching in the inactive resources. Deactivation is not irreversible.
"My client is asking me to deactivate a worker but I can't"
If the worker was added by another user at your company, you may need additional permissions. Contact your account administrator.
