If a document you uploaded appears as "Rejected", don't worry — it happens often and there is always a solution. This guide explains how to understand the reason for the rejection, correct the document, and re-upload it properly.
Why was my document rejected?
When a document is rejected, the validation team leaves a comment explaining the reason. The most common rejections are:
Expired document or incorrect date. The file has an issue date or validity period that does not cover the contract period.
Illegible or incomplete document. The image is blurry, cut off, or pages are missing. This also happens when a PDF has not been scanned correctly.
Document does not match the requirement. A file has been uploaded that does not correspond to what is being requested. For example, uploading a training certificate instead of the Social Security registration.
Missing signature, stamp, or mandatory data. The document requires a signature, a company stamp, or specific data (worker's name, tax ID, etc.) that are not present.
Invalid format. The file is not in an accepted format. Check the permitted formats in What file types can I upload in Twind?
Step 1: check the exact reason for the rejection
To find out exactly why your document was rejected:
In the side menu, click "Requirements".
Locate the rejected requirement. You can use the filters to find it more quickly.
Click "Manage" to open the details.
In the left panel, scroll down to the "History" section. Find the entry marked as "Rejected" and read the validator's comments.
ℹ️ Keep in mind: before re-uploading the document, also check the "Acceptance criteria" section in the left panel of the same requirement. Step 2: correct the document
With the rejection reason and acceptance criteria clear, prepare the new version of the document. Before re-uploading it, check the following:
Are the dates correct? Verify that the issue date and validity period cover the contract period.
Is the document legible? If it is a scan, make sure the text is readable and nothing is cut off.
Does it include all the required data? Worker's name, tax ID, signature, company or issuing body stamp.
Does it match the correct requirement? Read the requirement name and the acceptance criteria to confirm the file is the right one.
Is the format valid? The most common accepted formats are PDF, JPG, PNG. See the full list in What file types can I upload in Twind?
Step 3: re-upload the document
From the same "Manage requirement" screen, click on the upload area in the right panel to select the new file.
Select the "Issue date" of the new document.
Click "Save".
The document will move to "Pending review" status and the validation team will review it again.
⚠️ Important: as long as the requirement remains in rejected status and you do not upload a new version, it will continue to affect the contract's compliance percentage. If the requirement is "Critical", the worker will not be able to access the facilities until it is approved.
What if it gets rejected again?
If it is rejected again after correcting it, check the "History" comments once more — there may be an additional detail to correct. If you don't understand the reason or believe the document is correct, contact us and we will help you resolve it.
