If you have just been assigned to a contract and don't know where to start, this guide explains how to check what documents are being requested, which ones are mandatory for access, and in what order it makes sense to upload them.
Where do I see the documents being requested?
All the documents your client is requesting appear in the "Requirements" module in the side menu. There you will find the full list, organised by subject (company, worker, vehicle, or equipment).
1. In the side menu, click "Requirements".
2. Select the "Pending upload" filter to see only the documents you have not yet submitted.
ℹ️ Keep in mind: if you cannot see any pending documents, it may be because the worker is not assigned to the contract or does not have risks defined. See the article How to assign resources to the client's contract? to verify this.
Which ones are mandatory for access?
Not all documents carry the same weight. Some are marked with the "Critical" label: this means that without them, the worker will not be able to access the client's facilities, even if the rest of the documentation is in order.
To identify them:
1. In the requirements list, look for the "Critical" label next to the document name. Critical requirements are clearly highlighted.
2. If a requirement does not have the "Critical" label, it is still needed for the contract's compliance, but it does not block the worker's access while it is being processed.
⚠️ Important: the contract's compliance percentage will only reach 100% when all requirements are approved (critical and non-critical). But for your worker to be able to access the site, the priority is to have the critical ones approved and valid.
Where do I start? Recommended order
We recommend following this order to be as efficient as possible:
1. First, company-level requirements. These are documents such as the Social Security certificate, public liability insurance, or risk assessment. They are uploaded once and apply to all contracts.
2. Then, each worker's critical requirements. These are the ones marked "Critical" that block access. They typically include documents such as the Social Security registration, medical fitness certificate, or OHS training.
3. Finally, the remaining requirements. Complete the non-critical documentation to reach 100% compliance.
What do I do after uploading them?
Once uploaded, documents move to "Pending review" status. The validation team will review them and approve or reject them. You can check the status at any time from "Requirements".
