How to set up Special Works to control contractor workers' access to high-risk activities

With the Special Works feature, you define which risks a worker from your contractor must have covered before accessing activities such as working at height, confined spaces, or hot works. If they don't meet them, they don't get access.

What this feature is for

In business activity coordination, certain activities require specific guarantees before granting a worker access. Special Works gives you control to define those guarantees: which risks a worker from your contractor must have covered to be allowed in. If the worker doesn't have these risks covered, they cannot enter the work centre. You decide which risks apply to each Special Work.

ℹ️ Please note: Special Works is a paid feature. To activate it in your account, contact your Customer Success.

Step 1. Mark which activities are high risk

Once the Twind team has set up the feature, you only need to follow these steps to use Special Works:

  1. Go to "Parameters".

  2. Select "Activities".

  3. In the activity you want to designate as a special work, select "Edit activity" in the actions column.

  4. Change the type to "Special Work".

  5. Finally, select "Save" to save your changes. The rest of the activities will not be affected.

ℹ️ Please note: If you are creating a new activity, the procedure is the same. You just need to select "Special Work" as the activity type.

Step 2. Set up mandatory risks for special works

Setting up mandatory risks for special works works the same way as for activities.

  1. Select the mandatory risk you want to associate with the special work.

  2. When you select the risk, Twind will show a message to confirm the assignment of mandatory risks.

    In this message you can select the existing contracts that will also be affected by the new mandatory risk.

    • New contracts that include this special work will automatically require the configured risk.

    • Existing contracts you select will apply the new requirement.

    • Existing contracts you do not select will receive warnings instead of being blocked if they do not meet the required risks.

  3. Select "Confirm" to apply the configuration.

ℹ️ Please note: The configuration of mandatory risks for a special work follows the same logic as for activities. The only difference is that in this case, the risk is associated with a Special Work.

Identifying special works in contracts

  1. The risk indicator will be visible in your contract list and also in the contractor view.

  2. In the contract list, contracts that include a Special Work will be identified with this label, so you can recognise them easily.

  3. By selecting "View contract", you can check all the details of the Special Work, including the associated mandatory risks and their configuration.

What happens if a resource does not meet the requirements

The mandatory risks associated with Special Works and those from standard activities are evaluated together as a single block of requirements. If the worker does not meet any of the required mandatory risks, they will not be able to access the work centre.

To check which requirement is not met:

  1. Go to "Access".

  2. In "Access control", locate the resource.

  3. In the last column, select "See details" to check the status and the requirements the worker must meet.

  4. In this section you can check all the details of the access control, including the requirements the worker does not meet and the reason why they cannot enter the work centre.

What happens if I deactivate Special Works?

Don't worry. Your configuration is kept intact. When you reactivate it, everything goes back to exactly as you left it.
