What are sites used for in Twind?
In Twind, sites represent the workplaces or physical locations where activity takes place: offices, factories, warehouses, construction sites, production plants, shops, etc. Each site can have its own documentary requirements, its own subcontractors, and its own access rules.
Creating separate sites allows you to manage CAE independently for each location: you can request specific documentation per site, control access at each facility, and have a clear view of which subcontractors work at each site.
Before you start: what information you need
To register a site in Twind, we recommend having the following information to hand:
Name (required): the name you want to use to identify the site on the platform (e.g. "Madrid Plant", "Reus Warehouse", "Barcelona Head Office").
Address: street, city, state, county, postcode, and country.
Phone: contact number for the site, if applicable.
Photo (optional): an image to visually distinguish the site on the platform.
How to add a new site step by step
Go to "Settings" from the left-hand side menu and click "Sites".
The "Site settings" page will open with the list of all sites you have already registered. Click the "+ Add site" button in the top-right corner.
The "Add site" form will open. Enter the site name (the only required field, marked with an asterisk).
Fill in the remaining fields with the site information: Street, City, State, County, Postcode, Country, and Phone. If you wish, you can upload a photo by clicking "Upload photo" on the right.
Once the information is complete, click the "Add" button in the bottom-right corner to register the new site in Twind.
⚠️ Important: creating a new site does not configure it automatically. The site is created empty, with no documentary requirements, no assigned subcontractors, and no access rules. After creating it, you will need to configure it manually: assign the subcontractors that will work there, define what documentary requirements will be requested, and set up the access control rules. Without this configuration, the site exists on the platform but will not be operational for CAE management.
What should I configure after creating the site?
Once created, the site appears on the platform but needs to be configured manually to work correctly in CAE management. These are the steps you need to complete next:
1. Assign subcontractors to the site
Link the contractor companies that will provide services at that location. Without this assignment, subcontractors will not see the site in their panel and will not be able to submit documentation for it.
2. Define documentary requirements
Configure what documentation will be requested from subcontractors working at this site. You can create site-specific requirement request rules from "Settings" → "Requirements", combining site, activity, role, and contract conditions. If no requirements are defined, no documentation will be requested from the assigned subcontractors.
3. Configure access control
Set the access rules for the site: what conditions must be met (valid documentation, up-to-date medical fitness, complete training) for a worker to be authorised to access the facilities.
4. Share site information documents
If the site has preventive instructions, emergency plans, access regulations, or other documentation that subcontractors need to know about, share them through Twind so they can read and confirm receipt.
ℹ️ Keep in mind: if you already have other sites configured with similar requirements, you can use the same document preselections and requirement rules as a starting point. Check your current configuration under "Settings" → "Requirements" to reuse what you already have defined.
Can I edit or delete a site after creating it?
Yes. From the "Site settings" page, click the "Select" dropdown in the "Actions" column for the site you want to modify. You can edit its information or perform other available actions.
If you need to deactivate a site, bear in mind that it may have subcontractors, workers, and linked documentation. Before deleting it, check that there are no active coordinations associated with it.
Can I search through my sites?
Yes. At the top of the "Site settings" page there is a search bar. Enter the site name and the list will filter automatically. You can also export the full site list using the "Export" button.
