How to manage your Document Library in Twind

Learn how to upload, organize, search, and manage the documentation of your internal resources (employees, vehicles, and equipment) from the Twind Document Library.

🔌 The Document Library is a Twind Add-on — an additional feature that is contracted separately. If you don't have it activated yet and are interested, contact your Customer Success Manager.

The Document Library is the centralized space in Twind where you can upload, organize, and consult the documentation of your company's internal resources: employees, vehicles, and equipment.

Accessing the Document Library

Open Twind's side menu and click on Document Library. The main table with all your documents will open.

If the option does not appear in the menu, the feature is not yet activated on your account. Contact your Customer Success Manager.

Uploading documents to the Document Library

The upload process has two steps:

  1. Click Upload files.

  2. Step 1 — Upload files: drag or select up to 20 files (PDF, Word, Excel, images, ZIP…). You can group several files into a single document before continuing. Maximum file size: 100 MB.

  3. Step 2 — Configure documents: for each file or group, fill in the required and optional fields:

    • Document name (must be unique per account)

    • Subject type: company, employee, vehicle, or equipment

    • Subject name

    • Document type (optional — automatically filtered based on the selected subject type)

    • Issue date

    • Expiry date (optional)

Click Save. The documents will be available in the main Document Library table.

Searching and filtering documents

In the Document Library table you can filter by subject type, subject name, document type, and document name.

Filters are applied in smart cascade: when filtering by subject type, the subject name field only shows subjects of that type. This reduces noise and speeds up the search.

Viewing, editing, and deleting documents

From the action menu of each row in the table you can:

  • View: opens the document in a full-screen viewer with preview (PDF, images, and more), zoom, rotation, and direct download option. For file types without preview, the viewer shows an alternative view.

  • Edit: modify the document's metadata (name, type, dates) or add and remove files from an existing document — without needing to re-upload everything.

  • Delete: deletes the document with confirmation. Requirements where you had already submitted it are not affected — the compliance history remains intact.

Accessing documents from a resource record

You don't always need to go to the Document Library. From anywhere in Twind where a resource appears, you have direct access to its documents:

  • On the detail page of any employee, vehicle, or equipment → View documents link

  • In the action menu of the employee, vehicle, or equipment list → View documents link

  • In Company dataView documents link pre-filtered by the Company subject type

In all cases, clicking takes you to the Document Library pre-filtered by that subject, with no need to apply filters manually.

Automatic approval of internal requirements

If your company has the Internal Management contract active, evidence you upload to internal requirements is automatically approved instantly — without going through the "Pending review" status. The requirement history directly records the "Approved" event.

This behavior can be enabled or disabled account by account from the Global Admin panel → sub-option "Auto-approve internal requirements", visible when the Internal Management add-on is active.
