Assign resources to a contract, now much faster

We've redesigned the resource assignment flow for contracts: fewer screens, fewer steps, and no need to leave the flow to create what's missing. Here's what's changed and how it works.

Before rolling this out to everyone, we want a selected group of users to test it first. That's why we've written this article — to show how the resource assignment flow used to work, how it works now, and what's changed.

What's changing in resource assignment

If you manage the coordination of business activities (CAE) for multiple contractors, you'll notice the difference: we've redesigned how workers, vehicles, equipment, and products are assigned to contracts. You can now do everything from the contract list, without switching screens, and with the option to create new resources on the fly.

How it worked before

To assign a worker, vehicle, or piece of equipment to a contract, the process required three things:

  • The resource had to exist before you could assign it. If it wasn't registered under "Resources", it wouldn't appear as an option. You had to leave the flow, go to the resources menu, fill out the entire form, and start the assignment again.

  • The assignment was buried inside the contract. You had to open the contract, click "Assign Resources", select the resource, and set the risks row by row.

  • Any missing resource meant going back and forth. Every time you needed a resource that didn't exist, you repeated the same loop: leave, create, come back, search, assign.

No need to open the contract. Just hover over the row and click "Assign Resources". That's it.

A practical example

Imagine you need to register five new workers for a project starting next week. Before, if any of them weren't already registered, you had to create them separately and restart the assignment.

Now, directly from the contract, you select them or create them from the side panel. You assign the same work center and risk level with a single click, and no one is left unassigned on the day they need to start working.

Steps to assign employees to the contract

  1. Go to "Contracts" from the left sidebar.

  2. Hover over the contractor's contract and click the "Assign Resources" button.

  3. Select the "Employees" tab.

  4. Click "Add employee" to open the selection panel. Search by name or ID and check the employees you want to assign.

  5. If the employee is not yet registered in Twind, select "Create employee" in the side panel, fill in their details, and click "Create employee" to save. Once created, they will appear in the list for you to select.

  6. Back in the table, fill in the fields "Type", "Work center and activity", "Risk", and "Job position" for each employee. If you need to apply the same configuration to several at once, check the rows and use the "Assign type", "Assign center", or "Assign risk" buttons.

How to assign any resource to your contracts

  1. Go to "Contracts" from the left sidebar.

  2. Hover over the contractor's contract and click the "Assign Resources" button.

  3. Choose the resource type tab: "Employees", "Vehicles", "Equipment", or "Products".

  4. Click "Add employee" (or the equivalent button) to open the selection panel, search by name or ID, and check the resources you want to assign. If one is missing, create it right there with "Create employee".

  5. Back in the table, fill in "Type", "Work center and activity", "Risk", and "Job position" for each resource, or check multiple rows at once and use "Assign type", "Assign center", or "Assign risk" to apply it to all at once.

  6. Click "Save" to confirm the assignment.
