How to assign resources (workers, vehicles and equipment) to the client's contract in Twind?

Need to link your workers, vehicles, and equipment to your client's contract in Twind? Step-by-step guide, prerequisites, and how to fix the most common errors.

⚠️ Before you start: check that your resources are registered under "Resources" and that each worker has their worker type defined (employed or self-employed) in "Resources" → "Employees" → "Edit employee". Without this step, the worker will not appear in the list when you try to assign them.

Prerequisites

To assign resources to a client's contract you need to meet two conditions:

  • Have the resources registered under "Resources" (workers, vehicles, machinery, and equipment).

  • Your company must have the role of main contractor on that contract.

This step is key within Business Activity Coordination (CAE/BAC), as it links the people and equipment providing the service to the documentation required by your client.

Steps to assign resources to the contract

  1. Go to the left sidebar menu and click on "Contracts".

  2. Locate the client's contract. In the "Actions" column, click the "Select" dropdown and then "View contract" to open the details..

  3. Inside the contract details, scroll down to the "Sites and activities" section.

  4. In the row for the site or activity where you want to assign resources, click the "Select" dropdown in the "Actions" column and choose "Assign resources".

  5. A panel will open with three tabs: "Employees", "Vehicles", and "Equipment". In each tab, select the resources you want to assign to this contract.

  6. For each assigned worker, define their role (the position they will hold) and the risks associated with the activity they will carry out at the client's premises. Repeat the process for vehicles and equipment where applicable.

  7. Click "Save" at the bottom right to confirm the assignment.

Common errors and how to fix them

I can't see the "Assign resources" button

If you open the contract details and can't find the button, check these two reasons:

  • The "Assign resources" button is not at the top of the contract. It is inside the "Sites and activities" table, in the "Actions" column. Click the "Select" dropdown in the corresponding row.

  • Your company does not have the main contractor role on that contract. Only the main contractor can assign resources. Contact your client to verify the permissions.

A worker doesn't appear in the list when I try to assign them

The worker is registered under "Resources" but doesn't show up when assigning. Check:

  • They don't have a worker type defined (employed or self-employed). Go to "Resources" > "Employees" > "Edit employee" and complete it at the bottom of the form.

  • They are already assigned to the same contract from another tab.

I saved the assignment but my worker still can't access

Assigning to the contract is only the first step. For access to be granted, the worker also needs approved and current validation documentation for all critical requirements.

After assigning resources

Once assigned, the next step is to upload documentation for each resource. Only when the critical documents are in "Approved" status and within their validity period will your workers be able to access the client's facilities.

ℹ️ Remember: assignment to the contract does not automatically grant access. It is essential that the resource's critical documents are approved and within their validity date.
