How to assign employees, vehicles, equipment and products to your client's contract?

Learn how to assign resources (employees, vehicles, machinery, and products) to your client's contract directly from the contracts list in Twind.

⚠️ Important: your company must have the main contractor role on the contract. If you don't see the "Assign resources" button, you probably don't have that role. Contact the client to check.

Access the assignment panel

  1. In the left-hand side menu, click "Contracts".

  2. Find the client's contract and click "Assign resources", which appears on the contract row when you hover over it.

    Asignar Recursos

  3. Inside the assignment panel, select the type of resource you want to assign: Employees, Vehicles, Equipment, or Products.

For example, if you want to assign an employee, go to the Employees section and click "Add employee".

    Abrir Añadir Empleado

  4. Select the relevant employees from the list, or click "Create employee" to register a new one.

    Iniciar Creación de Empleado

  5. For each employee, define:

  • Select the worker type

    Seleccionar Tipo de Trabajador

  • Site and activity where they will carry out the work. Select the site and click "Apply".

    Seleccionar Ubicación de Empresa

  • Risks associated with the activity. Select the risks and click "Apply".

    Seleccionar Categoría de Riesgo

ℹ️ Keep in mind: you can also select all employees and define everything at once.

    Preparar Asignación de Recursos

    6. Repeat the process in the corresponding tabs ("Vehicles", "Equipment", and "Products") as needed for your contract.

    7. Click "Save" to confirm all assigned resources.

Steps to assign resources to the contract

  1. In the contracts list, click the "⋯" menu on the contract and select "Manage resources and subcontractors"

    Gestionar Recursos Y Subcontratistas

  2. Inside the contract details, scroll down to the "Sites and activities" section.

  3. In the row for the site or activity where you want to assign resources, click the "Select" dropdown in the "Actions" column and choose "Assign resources".

    Assign Project Resources

  4. A panel will open with three tabs: "Employees", "Vehicles", "Equipment" and "Products". In each tab, select the resources you want to assign to this contract.

    Acceder a la Sección Principal

  5. For each assigned worker, define their role (the position they will hold) and the risks associated with the activity they will carry out at the client's premises. Repeat the process for vehicles, equipment and products where applicable.

    Open Resource Options

  6. Click "Save" at the bottom right to confirm the assignment

ℹ️ Keep in mind: if a worker does not appear in the list, they most likely do not have a worker type defined. Go to "Resources" → "Employees" → "Edit employee" and complete it. See all possible causes in Why can't I link a worker to the contract?

Common errors and how to fix them

I can't see the "Assign resources" button

If you open the contract details and can't find the button, check these two reasons:

  • The "Assign resources" button is not at the top of the contract. It is inside the "Sites and activities" table, in the "Actions" column. Click the "Select" dropdown in the corresponding row.

  • Your company does not have the main contractor role on that contract. Only the main contractor can assign resources. Contact your client to verify the permissions.

A worker doesn't appear in the list when I try to assign them

The worker is registered under "Resources" but doesn't show up when assigning. Check:

  • They don't have a worker type defined (employed or self-employed). Go to "Resources" > "Employees" > "Edit employee" and complete it at the bottom of the form.

  • They are already assigned to the same contract from another tab.

I saved the assignment but my worker still can't access

Assigning to the contract is only the first step. For access to be granted, the worker also needs approved and current validation documentation for all critical requirements.

For all possible causes with step-by-step solutions, see Why can't I link a worker to the contract?

After assigning resources

Once assigned, the next step is to upload documentation for each resource. Only when the critical documents are in "Approved" status and within their validity period will your resources be able to access the client's facilities.

ℹ️ Remember: assignment to the contract does not automatically grant access. It is essential that the resource's critical documents are approved and within their validity date.
