Which activity should I assign to my contractor in Twind?

Twind's activity catalogue combines a base list with the categories you add yourself as the main client. We'll explain how to choose the correct one for each contract.

How the activity catalogue works in Twind

Activities identify what type of work a contractor company performs within a contract. The catalogue you see when creating a contract is made up of two parts:

  • Twind's standard activities. A base list common to all companies with the most frequent service categories (cleaning, maintenance, civil works, transport, installations, security, gardening, consultancy, etc.).

  • Your company's custom activities. Additional categories that you, as the main client, have added from "Settings > Parameters > Activities" to cover specific services that aren't in the base catalogue.

Choosing the correct activity is important because Twind uses it to automatically assign the requirements and CAE/PRL risks to the contract. An incorrect selection can mean that documents are requested that shouldn't be, or that some that should be requested are missing.

ℹ️ Please note: only the main client can create new activities. Contractors can only select from the activities you have configured.

How to choose the correct activity

When assigning an activity to the contract, follow these criteria:

  • Choose the activity that describes the main work the contractor will perform, not the specific speciality of the company. For example, a company providing comprehensive IT support would fit into a general IT maintenance activity, even if they also install cabling.

  • If the contractor performs several services under the same contract, you can select multiple activities to cover the full scope.

  • When in doubt between two similar activities, choose the one that reflects the main risk of the work (for example, if work will be carried out at height, prioritise that category over a generic one).

ℹ️ Please note: from "Settings > Parameters > Activities" you can view the full available catalogue and use the "Export" button to download the complete list if you want to review it offline.

What do I do if none of the activities on the list fit?

If the service your contractor will perform doesn't match any of the available activities, you can create a new one. Follow these steps:

  1. Go to "Settings" in the left-side menu and select "Parameters".

  2. On the "Parameter settings" screen, make sure you are on the "Activities" tab. You will see the full catalogue list with search and pagination.

  3. Click the "+ Add activity" button in the top-right corner.

  4. Fill in the "Name" field with a clear title (for example: "IT Maintenance"). It's mandatory.

  5. Add a "Description" explaining which services fall under that category (optional but highly recommended).

  6. Click the "Add" button in the bottom-right corner to save the activity.

The new activity will be immediately available to assign to the contract.

If you are a contractor and can't find the activity you need

As a contractor, you cannot create activities yourself. The catalogue is configured by the main client you have the contract with. If when assigning an activity to the contract you can't find one that matches the service you'll perform:

  1. Contact your contract manager at the client company.

  2. Let them know the type of service you will perform.

  3. Your client will be able to add the corresponding activity and, once created, it will be available for you to select in the contract.

Best practices when creating a custom activity

  • Use clear, standardised names ("Cleaning Services", "IT Maintenance"), not supplier or project-specific names.

  • Always fill in the description, even though it's optional. It helps future contracts to be classified consistently and helps your contractors understand exactly what falls under that category.

  • Avoid creating duplicate activities with similar names. Before adding a new one, use the Activities tab search to check whether one already exists that could cover the same service.
