Who manages what
In Twind, the documentation for a subcontractor's workers is managed by the subcontracting company itself — not you as the main contractor.
Your responsibilities as the main contractor are:
Creating the subcontract and linking the subcontracting company.
Checking that the subcontract is active and has the correct dates.
Monitoring the subcontractor's document status from your contract.
The subcontractor, for their part, must register on Twind, add their workers, and upload the documents required by the client company.
Step 1 — Check that the subcontract is set up correctly
Before expecting documentation from the subcontractor, make sure the subcontract exists and is active.
In the side menu, click on "Contracts".
Open the main contract and go to the subcontracts section.
Check that the subcontracting company is linked and that the validity dates are correct.
ℹ️ Please note: if the subcontract has expired, the subcontractor will not be able to manage their documentation or assign workers. Update the dates if necessary.
If you haven't created the subcontract yet, see How do I subcontract another company in Twind as a contractor?
Step 2 — Confirm that the subcontractor is active in Twind
For the subcontractor to manage their workers, they need to have access to Twind. If they haven't registered yet, they must do so through the invitation sent when the subcontract was created.
If the subcontracting company hasn't received the invitation or can't access it, ask them to check their spam folder or contact our team and we'll help resend it.
Step 3 — Check the subcontractor's document status
Once the subcontract is active, you can see the document status of the subcontractor and their workers directly from your contract.
⚠️ Important: this option is only available if you have the Professional Plan or AI Plan. Without this plan, you won't be able to see the subcontractor's document status from your contract.
Open the main contract under "Contracts".
Go to the subcontracts section and select the subcontractor.
From there you can see which documents are pending, under review, or approved for that company and their workers.
ℹ️ Please note: if you see the subcontractor's workers showing in red or with incomplete documentation, the correct step is to let the subcontractor know so they can upload or correct the documents. You cannot upload documentation on behalf of another company.
Common issues
No pending documents appear for the subcontractor's workers — The most likely reason is that the subcontractor has not yet assigned their workers to the subcontract, or has not defined the risks for them. Ask them to access their contract in Twind and complete the assignment.
The subcontractor says they can't see the contract — Check that the subcontract is active and that the email the subcontractor uses to log in matches the one you used when you created them. If the email is incorrect, see How do I change the access email for a contractor or subcontractor company in Twind?
The subcontractor's workers are showing in red — This means they have pending or rejected documentation. The subcontractor must review their requirements and upload or correct the affected documents.
The subcontractor doesn't appear when I search when creating the subcontract — The company may not yet be registered in Twind. Contact us and we'll manage the invitation.
